Requesting KPI Updates from Your Staff
How to streamline KPI reporting and engagement through the new KPI Connect feature
A smarter approach to gathering and validating KPI data
Unlike traditional KPI reporting systems that rely on spreadsheets, emails, and siloed tracking, Presto PDCA introduces KPI Connect, a powerful 2-way communication tool that allows managers to directly engage staff in KPI updates-without requiring complex training or platform familiarity. The system works through an intuitive push-email interface and a structured feedback hub, empowering managers to take control of the reporting cycle while allowing RACI Owners to contribute seamlessly.
This system ensures structured, traceable KPI communication and creates a culture of accountability and transparency.
4-Step Governance Process
- 1. Manager: Identifies KPIs requiring updates from staff or data owners.
- 2. Manager: Sends a system-generated push-email to RACI Owners.
- 3. RACI Owners: Receive the email and complete the KPI Update Survey.
- 4. Manager: Reviews submitted updates, accepts or rejects them, and the KPI Dashboard is refreshed in real-time.
This approach builds data ownership, speeds up updates, and reinforces management cadence.
Step 1:
Identify KPIs and Prepare for Update Request
- 1. Navigate to the KPI Dashboard in Presto PDCA.
- 2. Review your KPI portfolio for metrics requiring fresh data.
- 3. Select one or more KPIs to request an update from assigned RACI Owners.
- 4. Click "Request Update" and open the KPI Connect push-email interface.
Team Leaders should routinely review their KPI dashboards and proactively identify metrics that are due for updates or require clarification.
Step 2:
Send a Push E-Mail to KPI Owners
- 1. Choose the KPI(s) you want updated.
- 2. Select the appropriate RACI Owners.
- 3. Add a personal message if needed.
- 4. Click to send rich HTML email with embedded update links.
The email includes a table with the KPIs requiring input and a direct "Update" button for each item, allowing for quick engagement with no system login required.
Step 3:
KPI Owners Receive E-Mail and Submit Updates
- 1. Open the email and review listed KPIs.
- 2. Click the Update button to access the KPI Connect panel.
- 3. For each KPI, enter: Result, Comment (optional) & file/link (optional)
- 4. Submit the form.
The KPI Connect Hub is designed for ease of use, allowing staff to complete submissions in minutes, without navigating the full Presto platform.
Introducing the KPI-Connect Feedback Hub
The KPI Connect Feedback Hub is an intuitive platform that allows staff, vendors, and clients to easily view their assigned KPIs, update result, and provide comments (and links), all in just a few clicks. Requiring no more than 5 minutes of introductory training, this user-friendly panel streamlines KPI updates and keeps everyone aligned with your project goals in real time.
Step 4:
Manager Reviews and Accepts or Rejects Updates
- 1. Manager receives notification once a KPI has been updated.
- 2. Review each submission in the KPI Acceptance Panel.
- 3. Accept or reject the KPI update.
- 3. Upon acceptance, data is immediately reflected in the KPI Dashboard.
This layer of managerial control ensures data quality while maintaining momentum in the reporting cycle.
KPI Connect: Bringing Structure, Speed & Simplicity to Performance Reporting With KPI Connect, you empower every level of your organization to participate in real-time performance tracking-without adding reporting burdens or requiring system training for non-management staff.
